Important update on the new ACM open access publishing model for ICPS!

ACM has introduced a new open access publishing model for the International Conference Proceedings Series (ICPS). Authors based at institutions that are not yet part of the ACM Open program will be required to pay an article processing charge (APC) to publish their ICPS article in the ACM Digital Library, unless one of their co-authors’ institutions is a member or they qualify for a waiver. For 2025, ACM is subsidizing APC pricing for ICPS as follows:

The 2025 subsidized APC rate for ICPS papers will be $350.

For papers where any of the authors is a member of ACM, the APC rate will be $250.

For ICPS papers whose corresponding author is based in a lower-middle-income country, the APC rate will be $175.

For ICPS papers whose corresponding author is based in a lower-middle-income country and where any of the authors is a member of ACM, the APC rate will be $125.

For ICPS papers whose corresponding author is based in a low-income country, no APC is required.

Registration Fees:
The total fee includes the ACM ICPS Article Processing Charge (APC), a USD 70 publication processing fee, and the standard SICET 2025 conference registration fee.

If you agree to publish your paper in ACM ICPS, please send a confirmation email to sicet@sliit.lk. Kindly include your paper number in the subject line of the email. Upon confirmation, a separate invoice will be issued for the applicable APC and processing fees.

For Authors

  • Per SICET 2025, for each accepted paper to be published in the SICET 2025 Proceedings and  journal®, at least one author (including students) is required to register for the conference. Moreover, the paper must be presented by an author named on the paper. Substitute presenters, due to unforeseen circumstances, must be authorized in advance by the TPC Chairs.
  • Non-refundable registration fees must be paid prior to uploading the final camera-ready version of the paper. Author registration will be opened on the SICET 2025 website soon.
  • For authors with two accepted papers, one Full or Student registration is valid for up to 1 (ONE) paper and the 2nd PAPER can be registered at 25% discount.
  • The final version of accepted papers (ready for publication, camera-ready) must be formatted as the standard 2-column SICET 2025 layout and limited to 4-6 pages.
  • You are strongly recommended to revise your paper in consideration of the reviewers’ comments. Your Track Chairs may contact you if they are not satisfied with your final version of your paper. The title, the list of authors and their listing order cannot be changed after the paper is accepted. Failure to abide by this policy may result in the removal of your paper from the final conference program.
  • The upload of the final camera-ready manuscript is due by 15th August 2025. You must be registered for SICET 2025 to upload your paper. Once you have registered for the conference, you will receive instructions for uploading the paper.

Author and Student Author Registration

Registration fee includes participation in the conference, publication of one full paper, conference attendance e-certificate, conference pack, entry pass for all the technical sessions, and lunch & refreshments in two days.

Once the conference committee accepts the full paper, authors are required to register by making the relevant payment before the author registration deadline, filling in, and uploading proof of payment to the online registration form.

The confirmation of the registration will be notified by email.

Author registration deadline: 20th August 2025

All Presenters registering under the student author category [Student Author, Student Author (Virtual)] must upload a scanned copy of their University Student Identity Card to the online registration form during the filling-in.

Participant Registration (conference pass)

General participants/co-authors other than the presenting authors, must submit an online registration form before the registration deadline to register for the conference. Confirmation of the registration will be notified by email.

Registration fee includes participation in the conference and workshops, and lunch & refreshments for 10th September 2025 to 11th September 2025.

Participants are required to register by making the relevant payment before the participant registration deadline, fill in, and upload proof of payment to the online registration form.

Participant registration deadline: 20th Aug 2025

All participants registering under the student Conference Pass category [Student Participant] must upload a scanned copy of their University Student Identity Card to the online registration form during the filling-in.

Payment Guidelines

FOR ALL CONFERENCE ATTENDEES

  • All refund/cancellation requests must be provided in writing and emailed to sicet@sliit.lk  by 23rd Aug 2025.  An administrative fee of US$20/ 6000 LKR  will be charged for each refund.
  • All requests for registration transfers must be provided in writing and email to sicet@sliit.lk  by 23rd   Aug 2025.
  • All payments made via wire transfer and check must be received 30 days after your registration is made. If not, your registration will be cancelled. All refund/cancellation requests must be provided in writing and received by 10th Aug 2025. There will be an administrative fee of US $20/ 6000 LKR deducted from each refund.
  • All Guests/General Participants, who are registered for the conference will be given a “GUEST” badge.
  • Attendees in all registration categories can separately purchase tickets for accommodation and transportation on 10th & 11th September 2025, and for the Excursion on 12th September 2025.
  • Children are not permitted entry into session rooms. Children under the age of 14 are not permitted on the Exhibit Hall floor during setup or dismantling hours. During scheduled show hours. Your support and compliance are greatly appreciated.

TRANSFER POLICY

  • All requests for registration transfers must be provided in writing. Registration rate difference will apply depending on the Authors Affiliation of the new registration. All transfer requests received AFTER 23rd August 2025 will be charged an additional US $20/ 5000 LKR

PRESENTER SUBSTITUTION POLICY/ VIRTUAL PRESENTATION

  • Presenter Availability: If the author of a paper is unable to present at the conference, the TPC Chair may allow a qualified substitute presenter or a virtual presentation.
  • Request Process: To make such a request, complete the Substitute Presenter Form no later than 23rd August 2025.
  • A copy of the form will be sent directly to the TPC Chair for approval.

Virtual Presentation Policy​

  • Local participants are generally expected to present in person. They are only eligible for a virtual presentation if they provide relevant proof of their departure from Sri Lanka or documentation of a valid health concern.
  • International participants (those residing outside of Sri Lanka) are eligible to present their work virtually.
